Room Rental Terms and Conditions
Ballinode Community Centre

1. Bookings & Payments
All bookings must be made in advance via our online booking platform, with a completed booking form and full payment or deposit received to secure the reservation.
Payments must be made online only, unless prior agreement with centre management.
A refundable security deposit of €50.00 is required for all bookings and will be returned within 7 days, provided no damage or breach of terms.
2. Use of Facilities
The room booked may only be used for the purpose stated in the booking form. (users will have use of basic kitchen facilities when booking meeting rooms)
Hirers must not sublet or assign the booking to another party.
Access is limited to the agreed times. Additional charges apply for overruns.
3. Cancellations & Refunds
Cancellations must be made in writing/email.
Refund policy:
More than 3 days’ notice: Full refund.
Less than 3 days’ notice: No refund.
4. Conduct and Responsibilities
The hirer is responsible for the conduct of all attendees.
Activities must not disturb other users of the centre or neighbours.
Noise must be kept within reasonable levels. (No amplified music after 9pm)
All users must treat staff, volunteers, and other visitors with respect. Aggressive, discriminatory, or abusive behaviour will not be tolerated
5. Health & Safety
Hirers must comply with all fire and safety regulations.
Emergency exits must be kept clear at all times.
No hazardous materials, open flames, or alcohol/illegal substances permitted on site. (Use of such will indemnify Ballinode Community Projects Ltd in the event of any claim)
First Aid kits are available on-site; accidents must be reported.
Smoking (including E-cigarettes and Vapes) is not permitted anywhere inside the building.
6. Children’s Parties
Children must be supervised at all times by responsible adults. (Ballinode Community Projects take no responsibility for supervision of children at any time within the building)
Bouncy castles or other inflatables are only permitted with prior written approval and proof of appropriate insurance from the supplier.
No glitter, confetti, silly string, or similar materials are allowed due to cleaning and safety concerns.
Any food or drink served is the responsibility of the hirer. Ballinode Community Projects Ltd accepts no liability for food-related incidents.
Any decorations must be free-standing or attached with non-damaging tape (no nails, staples, or pins are to be inserted into any interior walls)
The hirer is responsible for ensuring the room is cleared and fully cleaned after the party within the allocated time.
7. Kitchen & Catering
Full use of the kitchen and its appliances, must be arranged at the time of booking and is subject to an additional fee.
The hirer is responsible for bringing all necessary utensils, equipment, and ingredients for food preparation or catering.
The kitchen must be cleaned and left in good order after use.
A cleaning fee of €100.00 may be charged if the kitchen is left in an unsatisfactory state
8. Cleaning & Damage
The room must be left in a clean and tidy condition - as found.
All rubbish must be removed and placed in the designated outside bins.
Any damage to the property, furniture, or equipment will be charged to the hirer.
An additional cleaning fee of €50.00 may be charged if the room is left in an unsatisfactory state after use.
9. Insurance
Hirers must hold public liability insurance for their classes/event.
The Community Centre is not liable for any loss, theft, or damage to personal belongings or property belonging to the hirer or their guests.
The hirer agrees to indemnify the Community Centre from any legal claims, damages, or costs arising from the event, including accidents, injuries, or property damage.
10. Licences & Permissions
It is the hirer’s responsibility to obtain any required licences (e.g., music, alcohol, gambling).
Any event that requires such licences must be agreed with Ballinode Community Projects Ltd at the time of booking.
Alcohol may NOT be sold unless the correct licence is presented and suitable insurance cover in place.
(Ballinode Community Projects will not be responsible for any damage or injury incurred at such events where alcohol is available)CCTV is in operation within the building for the safety and security of users and staff.
11. Termination
The Community Centre reserves the right to cancel a booking at its discretion, with as much notice as possible.
Any breach of these terms may result in immediate termination of the booking without refund.
12. Agreement
By signing the booking form or submitting payment, the hirer agrees to these Terms and Conditions.
